BLEXIM a company with a storied history dating back to 1990, found themselves in a challenging situation, exacerbated by the onset of the COVID-19 pandemic. The company relied primarily on email and mobile applications for daily communication and file management. Whenever they needed to coordinate day-to-day activities or updates, many messages were sent, and every time a change was made to a document or file, a new version was created and kept in an endless loop of email threads, taking up excessive storage space.

Daily collaboration became a problem as staff members grappled with the ever-growing number of file versions, leading to confusion and delays. The non-tech-savvy team grappled with the sudden need for digital collaboration and the pandemic underscored the importance of remote work and digital communication, which BLEXIM’s team was not equipped to handle.

Our team embarked on a journey to address BLEXIM's needs. First, we conducted a thorough review of their existing Microsoft 365 setup, ensuring proper tenant configuration and licensing.

We then took a gradual approach to the adoption of Microsoft 365 tools. The adoption sessions were divided by user type and by each Microsoft tool purchased. Stakeholders and team champions were trained first, equipping them to effectively lead and teach their peers or end users. As this crew was made up of people who did not have a technical background, we prepared special sessions and only when they were comfortable with one product, we released the license for the next product or tool. This personalized approach not only built trust but also minimized the learning curve.

Then, we conducted multiple sessions for the entire staff, consisting of more than 20 employees ranging in age from 35 to 70, to ensure a deep understanding of the Microsoft 365 tools. This hands-on approach provided them with a clear understanding of various aspects, such as a streamlining mail and communication through Outlook, effectively managing files through SharePoint, optimizing collaboration through Microsoft Teams, and enhancing their daily workflow using Microsoft Planner and other valuable Microsoft tools. Additionally, these adoption sessions offered a platform for individuals to receive personalized help for their doubts and concerns.

Our continuous support was more than just a training process; they took 3 months of guidance to be the bridge between technology and the end-users, especially for non-tech-savvy audiences. This collaboration has resulted in streamlined communication and streamlined file management, effectively supporting BLEXIM's core business operations.
